Getting Started

Quick Setup

Log in to your accountUse the administrator credentials sent to your welcome email.

Configure Store DetailsNavigate to Settings > General to set your store name, currency, and tax rates.

Add Your First ProductGo to Products and click "Add New" to create your inventory.

Dashboard

The Dashboard provides at-a-glance insights into your business.

Summary Cards

Total Revenue
Gross sales amount
Gross Profit
Revenue - Cost

Low stock items

Filters & Charts

  • Date Range: Today, Last 7 Days, This Month, Custom
  • Shop: Filter by specific store location
  • Sales Trend: Line chart showing daily sales
  • Revenue by Category: Breakdown of sales by product category

Products

Viewing Products

Navigate to Products to manage your catalog. You can search by name/SKU, filter by category, or sort by price.

Adding a New Product

  1. 1Click Add Product button
  2. 2Fill in details: Name (required), SKU, Category, Brand, Unit, Shop
  3. 3Set Pricing: Buying Price, Retail Price, Wholesale Price
  4. 4Set Stock: Initial Quantity, Alert Quantity
  5. 5Click Save Product

Editing Products

Find product → Click menu → Edit. Modify details and save.

Stock Adjustments

Click menu → Adjust Stock. Enter adjustment amount (positive to add, negative to remove) and reason.

Sales & POS

The heart of CetaPOS. Our point-of-sale interface is designed for speed.

Sales List

Filter by date, status, or type. Search by order number.

Creating a New Sale

  1. 1Add Products: Scan barcode or search. Adjust quantity in cart.
  2. 2Select Customer: Choose existing or Walk-in. Add new if needed.
  3. 3Set Sale Type: Retail (Standard) or Wholesale.
  4. 4Payment: Select method (Cash, MoMo, Card, etc.).
  5. 5Click Complete Sale.

Draft Sales

Add items to cart and click "Save as Draft". Access later from Sales → Drafts.

Processing Returns

Find sale → Click → Process Return. Select items. Stock restores automatically.

Inventory

Keep track of stock movements, adjustments, and audits.

Stock Overview

View all products with stock levels. Filter by status (Low, Out, In Stock).

Stock Receiving

  1. 1Go to InventoryReceive Stock
  2. 2Select Supplier (optional)
  3. 3Add products, quantities, and cost prices
  4. 4Submit to update inventory

Stock Alerts

Products with quantity below alert threshold appear in Dashboard low stock widget and Inventory filters.

Purchases

Purchase Orders

  1. 1. Go to Purchases → New Purchase
  2. 2. Select Supplier
  3. 3. Add products, quantities, costs
  4. 4. Submit order

Receiving & Returns

  • Receive: Find order, mark items as received to update stock.
  • Return: Find purchase, click Process Return, select items.

Customer Management

  • • Search by name or phone
  • • View purchase history and credit balances

Adding Customers

Click Add Customer. Enter Name (required), Phone, Email, Address. Save.

Customer Credit

View outstanding balances, record payments, and set credit limits on the customer profile.

Payments

  1. 1. Find Supplier
  2. 2. Click Add Payment
  3. 3. Enter amount and details
  4. 4. Confirm payment

Analytics & Reports

Sales Report

Navigate to Reports → Sales Report for comprehensive analytics.

Activity Logs

Track user actions (sales, edits, deletes) and login history. Filter by user or action type.

Expenses

Add expense entries, categorize them, and view monthly expense totals.

Configure Business Name, Logo, Contact Info, Currency, and Tax rates.

User Management

Add users with Role assignments. Edit or deactivate existing users.

Shops & Branches

Add multiple shop locations. Assign products and users to specific shops.

Organization

Manage Product Categories, Brands, and Measurement Units.
